Our partner is a company offering digital solutions that help governments manage and improve their services. We’re looking for a Project Support Officer to join a long-term international project (4 years total duration) for the EU’s operational arm for border security – an organization that supports and coordinates national agencies in safeguarding the European Union’s external frontiers while upholding European values and fundamental rights.

Location: Warsaw, Poland, Near site work mode 

Brief position description

As a Project Support Officer, you will assist in the coordination, planning, and monitoring of large-scale digital transformation initiatives at the EU level. You will be responsible for project management, documentation, communication, reporting, ensuring smooth operational delivery within complex, multi-stakeholder environments.

This is an excellent opportunity to work on projects with real social impact – supporting EU border management and digital governance, while gaining long-term career stability and experience in international public sector programs.

Project Support Officer – Key Responsibilities

  • Support project planning, progress tracking, and documentation management.
  • Prepare and maintain project reports, dashboards, and correspondence.
  • Oversee resources, risks, and financial data reporting.
  • Facilitate internal and external communication across project stakeholders.
  • Draft project documents, notes, letters, presentations, and meeting minutes.
  • Coordinate and schedule project meetings and agendas.
  • Ensure document quality, consistency, and compliance with project standards.
  • Support quality assurance and audit processes.
  • Manage and update project records in Azure DevOps and other tools.
  • Prepare and execute basic testing activities and report results.

Project Support Officer – Main requirements

  • 2+ years of experience in project management or project support or project coordination.
  • Strong understanding of project management methodologies and documentation standards.
  • Proficiency with MS Office tools and experience with Azure DevOps (backlog, dashboards, test plans).
  • Experience drafting reports, letters, presentations, and meeting minutes.
  • Bachelor’s or Master’s degree in ICT, management, or a related field.
  • English level: minimum C1, confirmed by certificate (including free online certificate).
  • Certification: at least one of the following (or equivalent, subject to client approval): PRINCE2 Foundation OR Certified Associate in Project Management (CAPM) OR PM² Basic

Specific Experience (Nice to Have)

 

  • Experience with the Schengen Information System (SIS) or related EU agency systems.
  • Familiarity with testing ICT systems and preparing test data.
  • Knowledge of border checks, surveillance, or return operations.
