Business Analyst for the EU GovTech Agency

Our partner is a company offering digital solutions that help governments manage and improve their services. We’re looking for a Business Analyst to join a long-term international project (4 years total duration) for the EU’s operational arm for border security – an organization that supports and coordinates national agencies in safeguarding the European Union’s external frontiers while upholding European values and fundamental rights.

Location: Warsaw, Poland, Near site work mode 

Brief position description

As a Business Analyst, you will play a key role in shaping, documenting, and optimizing critical business processes within large-scale EU digital transformation programs. You will be responsible for eliciting and analysing requirements, modelling business processes, supporting product owners and business stakeholders, and ensuring that systems and workflows align with strategic objectives.

In this role, you will contribute to end-to-end solution design, help evaluate potential technical options, and drive continuous improvements across complex, multi-stakeholder environments. You will also support testing, quality assurance, and change management activities – ensuring that new processes and solutions are well understood, fully validated, and effectively adopted across the organisation.

Business Analyst – Key Responsibilities

• Model and document value streams, business processes, roles, capabilities, and data, while eliciting and analysing business needs, requirements, and user stories across the system lifecycle.
• Support business experts and product owners in defining requirements, translating business, user, and technical needs into clear specifications, and mapping business goals, project benefits, priorities, and system features.
• Analyse existing systems, identify solution options, and contribute to the preparation of business cases, feasibility studies, and end-to-end system design.
• Participate in testing, quality assurance, and change management activities, including designing, validating, and testing business processes to ensure operational excellence.
• Drive continuous improvement initiatives by taking a holistic approach to process optimisation, collaborating with end-to-end process owners, and identifying opportunities that enhance service quality and operational efficiency.
• Provide coaching and support during organisational changes, ensuring that staff understand new processes, tools, and required skills.

Business Analyst – Main requirements

• 8+ years of experience in IT industry, including 5+ years as a Business Analyst.
• Experience completing at least one full software solution lifecycle.
• Strong knowledge of BPMN for business process modelling.
• Proficient in requirements and user story elicitation, analysis, and defining acceptance criteria.
• Solid understanding of UML (capability diagrams, activity diagrams, state diagrams, logical data models, etc.).
• Proficient with modelling tools such as Sparx Enterprise Architect, ARIS Architect, or similar.
• Excellent analytical, communication, and problem-solving skills.
• Ability to create and maintain clear analytical, functional, and project documentation.
• Ability to evaluate and translate mobile usability standards into requirements.
• Skilled in gathering and refining mobile-specific requirements, including backlog grooming.
• Understanding of Apple/Android platform guidelines, app store constraints, and push notification policies.
• Ability to work with UX tools such as Figma.
• Bachelor’s or Master’s degree in ICT.
• English level: minimum C1, confirmed by certificate (including free online certificate).
• Certifications (at least two): CBAP or equivalent / UML Professional (Foundation) or BPMN 2 (Fundamental) or equivalent / Other internationally recognized BA certifications (subject to approval)
