Our partner is a fast-growing US-based entertainment and hospitality company operating a network of premium venues across the country and expanding internationally. As they scale their operations and technology organization, they are looking for a Business Systems Manager to own the systems that keep their venues running — reliably, efficiently, and at scale.

Location: Poland or Eastern Europe, remote-friendly
About the Role
This is a hands-on ownership role at the intersection of business systems, venue technology, and IT operations. You will own the configuration, reliability, and continuous improvement of core operational platforms – booking, POS, payments, CRM, and memberships – while managing two specialists who support these systems on the ground.
You will inherit a stack that has grown fast and needs documenting and stabilizing. Comfort with mapping systems with limited handover is essential. You will partner closely with the Director of Program Management, who brings you prioritized, sequenced work – your ownership is how that work gets executed and the technical decisions behind it.
Business Systems Manager – Key Responsibilities
Business Systems
- Own configuration, optimization, and data integrity of the core booking platform (MindBody or successor) across all venues
- Manage CRM, memberships, and customer identity; standardize workflows across locations and franchisees
- Document and stabilize inherited systems, ensuring consistent and reliable operational data
Payments & POS
- Own in-venue POS, card-present, and digital wallet experiences; drive reconciliation and reduce failed payment rates
- Partner with Finance on reporting accuracy and revenue integrity
- Note: in-app payments are owned by the Product/Engineering team
IT & Venue Operations
- Oversee venue and facility IT, hardware, networking, uptime monitoring, and support escalation through the IT/Facilities specialist
- Ensure consistent uptime and minimize customer-impacting incidents across all venue locations
Vendor & Cost Management
- Manage vendors, rationalize SaaS spend, and negotiate contracts and SLAs
- Identify opportunities to reduce operational costs without compromising system reliability
Team Leadership
- Directly manage and develop two specialists: a Business Systems Specialist and an IT/Facilities Operations Specialist
- Build a small, high-leverage team focused on operational excellence
Important Scope Boundaries
This role has clearly defined boundaries to keep focus sharp:
- Business intelligence: You define reporting needs; delivery is handled via AI tooling, not a BI hire or data warehouse build
- Security & compliance: PCI and vendor compliance is coordinated with a fractional/virtual CISO – this is not a hands-on security role
- Deep integrations & APIs: Owned by Engineering; this role owns requirements, configuration, and vendor coordination
- Cross-team prioritization: Owned by the Director of Program Management; this role executes against committed priorities
Business Systems Manager – Main Requirements
- 5–10 years of hands-on experience in business systems and/or IT operations.
- Deep configuration experience with MindBody or a comparable booking/POS/CRM platform.
- Proven experience in multi-location operations and vendor management.
- Ability to document and stabilize inherited systems with limited handover context.
- Strong vendor negotiation skills and commercial awareness around SaaS spend.
- Excellent communication skills – comfortable working across technical and operational stakeholders.
- Strong English – both written and spoken (required).
Nice to have:
- Experience working within a franchise or multi-venue business model.
- Background in entertainment, hospitality, or fitness/wellness operations technology.
- Familiarity with finance and revenue reconciliation workflows.

- Faster, more reliable booking, check-in, and checkout experiences across all venues.
- Clean, consistent customer and operational data.
- Improved system uptime with fewer customer-impacting incidents.
- A fully documented, rationalized technology stack with lower vendor and SaaS costs.
