Our partner is a company offering digital solutions that help governments manage and improve their services. We’re looking for a Business Analyst to join a long-term international project (4 years total duration) for the EU’s operational arm for border security – an organization that supports and coordinates national agencies in safeguarding the European Union’s external frontiers while upholding European values and fundamental rights.

Location: Warsaw, Poland, Near site work mode 

Brief position description

As a Business Analyst, you will play a key role in shaping, documenting, and optimizing critical business processes within large-scale EU digital transformation programs. You will be responsible for eliciting and analysing requirements, modelling business processes, supporting product owners and business stakeholders, and ensuring that systems and workflows align with strategic objectives.

In this role, you will contribute to end-to-end solution design, help evaluate potential technical options, and drive continuous improvements across complex, multi-stakeholder environments. You will also support testing, quality assurance, and change management activities – ensuring that new processes and solutions are well understood, fully validated, and effectively adopted across the organisation.

Business Analyst – Key Responsibilities

  • Business Process Modelling & Improvement: Model and document value chains, value streams, business processes, roles, capabilities, and data; design, validate, and test processes; identify improvement opportunities and drive initiatives focused on customer service, cost reduction, efficiency, and overall process excellence.
  • Requirements Elicitation & Management: Elicit, analyse, validate, document, and maintain business requirements and user stories; translate business, user, and technical needs into Business Requirements Specifications; ensure requirements are properly tracked throughout the software development lifecycle.
  • Stakeholder & Business Collaboration: Work closely with business experts, process owners, Product Owners, and other stakeholders to define requirements, priorities, project scope, objectives, and expected benefits, while providing ongoing support throughout solution development and implementation.
  • Solution & Systems Analysis: Analyse existing systems, processes, and capabilities; identify gaps and potential solution options; contribute to solution design, feasibility studies, business cases, testing, quality assurance, change management, and implementation activities.
  • Business & Organisational Change: Support the planning and implementation of organisational and process changes, including coaching Frontex staff on new processes, systems, and required skills, and ensuring appropriate adoption and transition plans are in place.
  • Process Performance & Continuous Improvement: Perform quantitative analysis of business processes, including cost-benefit and what-if analyses; define and implement performance monitoring frameworks and KPIs; collaborate with end-to-end process owners to continuously identify and implement improvements.
  • Strategic & Tactical Planning: Support business users in developing strategic and tactical plans, including sector strategies and implementation plans, and contribute to the definition of transition roadmaps for business architectures.
  • Documentation & Communication: Produce and maintain clear, structured analytical and project documentation, and communicate business objectives, business cases, requirements, scope, priorities, and proposed solutions effectively to both business and technical stakeholders.

Business Analyst – Main requirements

  • 5+ years in tech industry, 3+ years of experience as a Business Analyst.
  • Experience participating in at least one complete software solution lifecycle, from requirements through implementation and deployment.
  • Strong knowledge of business process modelling using BPMN.
  • Proven ability to elicit, analyse, document, and manage business requirements and user stories.
  • Good knowledge of UML and other analysis/modelling techniques, including capability, activity, state, and logical data models.
  • Proficiency with business process and modelling tools, such as Sparx Enterprise Architect, ARIS Architect, or equivalent.
  • Excellent analytical, problem-solving, and communication skills.
  • Strong ability to create, maintain, and manage business analysis and project documentation.
  • Ability to translate complex business needs into clear, structured, and actionable requirements.
  • Bachelor’s or Master’s degree in ICT.
  • English level: minimum C1, confirmed by certificate (including free online certificate).
  • Certification required (at least one): CBAP or equivalent / UML Professional (Foundation) or BPMN 2 (Fundamental) or equivalent / Other internationally recognized BA certifications (subject to approval)

Specific requirements

  • Had role of the BA for a large-scale project (above 1 year duration and over €1M budget) of deployment enterprise resource planning system
  • Experienced in analysis of the following business processes: Logistics, Warehouse Management, Asset Management, Fleet Management, Financial Management, Legal, HR, Project Management
  • Experienced in business analysis considering capabilities of the Microsoft technologies: SharePoint 2019, SharePoint Subscription Edition, SharePoint Online, Microsoft Power Automate, Power Apps, Dataverse.
  • Experienced in business analysis considering capabilities of the Service Now platform (custom applications and standard Service Now modules): Enterprise Assets Management, Strategic Porfolio Management, Customer Service Management (in on-prem and clould set-up)
